Role Focus: Scheduling, Communication & Office Coordination
We are looking for a reliable and well-organized Admin & Operations Officer to support the smooth daily running of IlewaCare’s care services. The ideal candidate will help coordinate caregiver schedules, respond to calls and WhatsApp messages, manage documentation, follow up with clients, and ensure the office stays organized and efficient.
This role is perfect for someone who is detail-oriented, calm under pressure, and comfortable communicating with clients, families, caregivers, and internal team members.
Key Responsibilities
- Schedule caregivers and coordinate daily care appointments.
- Respond to client enquiries through phone calls, WhatsApp, and other communication channels.
- Maintain accurate records, documents, and client files.
- Organize filing systems for both physical and digital documents.
- Send updates to clients and families when required.
- Follow up on payments, invoices, and outstanding balances.
- Support office organization and ensure daily administrative tasks are completed.
- Coordinate communication between caregivers, clients, and management.
- Track client requests, caregiver availability, and operational updates.
- Assist with general administrative duties as needed.
Ideal Candidate
The ideal candidate is organized, responsive, and professional in communication. They should be able to manage multiple tasks, keep accurate records, follow up without being reminded, and ensure that clients and caregivers receive timely information.
They should be dependable, polite, detail-oriented, and comfortable using basic office tools, WhatsApp, spreadsheets, and documentation systems.
